Privacy Policy

1. Who we are

Fluenta (“Fluenta”, “we”, “us”) provides a classroom-connected AI English speaking practice platform for language centres, available at fluenta.live. This policy explains what personal data we collect, why we collect it, and the choices you have. It applies to centre staff, students, parents, and individual subscribers who use Fluenta.

2. What we collect

  • Account information. Name and email address when you sign up, including via Google sign-in. We receive only your basic Google profile (name, email, profile picture) — never your Google password.
  • Practice transcripts. When a student speaks with the AI voice coach, their speech is transcribed in real time. We store the resulting text transcripts so teachers and parents can see progress. We do not retain audio recordings of practice sessions — voice audio is processed in transit for transcription and conversation and is not stored as part of our standard practice flow.
  • Practice statistics. Minutes practised, missions completed, level estimates, pronunciation and grammar feedback, and similar learning analytics derived from practice sessions.
  • Parent contact channels. Where a centre enables parent updates, we process the parent’s Zalo and/or Telegram contact details provided by the centre in order to deliver weekly progress messages.
  • Centre data. Class lists, lesson context provided by teachers, attendance signals, and related operational data supplied by the centre.
  • Payment information. Payments are processed by Stripe. We do not store full card numbers; we receive only billing status and limited transaction metadata.

3. Children’s data

Many Fluenta students are under 18. Student accounts are created and managed through the student’s language centre, and consent for a minor’s use of Fluenta is obtained by the centre from the student’s parent or legal guardian as part of enrolment.

Student data — transcripts and practice statistics — is used only to support the student’s learning progress: to power the voice coach, to brief teachers, and to send progress updates to the student’s own parents. It is never used for advertising, profiling unrelated to learning, or any commercial purpose beyond providing the service.

4. How we use data

  • To provide speaking practice, generate missions tied to the centre’s lessons, and give feedback.
  • To produce teacher pre-class briefs and centre dashboards.
  • To send weekly progress messages to parents via Zalo or Telegram, where the centre has enabled this.
  • To operate, secure, and improve the service, including aggregate (non-identifying) usage analysis.
  • To process subscriptions and billing.

We do not sell personal data, and we do not use it for advertising. Student transcripts are not used to train third-party AI models.

5. Service providers (processors)

We use a small number of providers to run Fluenta. Each processes data only on our instructions:

  • Supabase — database and authentication hosting, located in the ap-southeast-1 (Singapore) region.
  • OpenRouter — routes practice transcripts to large-language-model providers to generate coaching responses and feedback.
  • LiveKit — real-time voice transport for practice sessions.
  • Stripe — payment processing.
  • Zalo and Telegram — delivery of parent progress messages, where enabled by the centre.

6. Tenant isolation

Each centre’s data is logically segregated by centre (tenant) within our systems. Staff at one centre cannot access another centre’s students, transcripts, or reports, and access within a centre is limited by role (director, teacher, student, parent).

7. Retention and deletion

We retain personal data for as long as the relevant account or centre subscription is active, and for a limited period afterwards as needed for legal, billing, and security purposes. You — or the centre or parent acting on a student’s behalf — can request deletion of personal data at any time by emailing rachidchfiraleader@gmail.com. We will delete the data within a reasonable period (typically within 30 days), except where we are legally required to keep it.

8. Security

We use industry-standard safeguards including encryption in transit, role-based access controls, and tenant-scoped authorisation. No system is perfectly secure; if we become aware of a breach affecting your data, we will notify affected centres and users without undue delay.

9. Your rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal data, and to object to or restrict certain processing. Parents and guardians may exercise these rights on behalf of their children. To exercise any right, email rachidchfiraleader@gmail.com.

10. International transfers

Data is hosted in Singapore (ap-southeast-1). Some providers listed above (for example LLM providers reached via OpenRouter, and Stripe) may process data in other regions, including the United States. We rely on those providers’ contractual data-protection commitments for such transfers.

11. Changes to this policy

We may update this policy from time to time. Material changes will be announced to centres and signed-in users, and the “Last updated” date above will change. A Vietnamese translation of this policy is planned; until then, the English version governs.
